Job Summary

This role supports inbound and outbound client mailings, client facility badging process, Employee Laptop provisioning and other operational administrative supports for the business.

Duties and Responsibilities

  • Monitor volume to ensure all items are submitted to post office in a timely fashion.
  • Compile documentation for accuracy prior to adding postage and submitting to USPS.
  • Organize, distribute, and scan incoming and outgoing mail.
  • Oversee mailing and communications for inbound and outbound documentation for eRailsafe program.
  • Scan and distribute incoming mail.
  • Coordinate with Notary Public as needed.
  • Partner with Finance for money order and check administration as needed.
  • Coordinate with mailroom staff on all mail projects within established service level including but not limited to badges, letter and all other client communications that are sent in physical copy to clients and applicants.
  • Handle all print mail projects within established service level including badges, letters and all other client communications that are sent in physical copy to clients and applicants.
  • Maintain computer and printing device to ensure badges are printed with excellent quality and coordinates maintenance as needed.
  • Prepare and ship new computers for new joiners and receive computers from departing employees for redistribution.
  • Maintain adequate inventory of computers to adhere to company SLAs for new joiners.
  • Any other tasks as directed by leadership.

Minimum Qualifications

  • High School Diploma or equivalent required.
  • Proficiency in Microsoft Office.
  • Ability to multitask.
  • High level of professional and diplomatic written and verbal communication skills.
  • Ability to meet critical deadlines.
  • Highly organized, strong attention to detail.
  • Ability to stay calm and positive in stressful and demanding situations.
  • Ability to work well as part of a team.
